This Privacy Policy explains how Vita Wellness (“Vita Wellness”, “we”, “us”, “our”) collects, uses and protects personal data when you visit vitawellness.space or use the Vita Wellness cloud service, including the web application and desktop software (together, the “Service”).

1. Who is responsible for your data

Vita Wellness is the controller of the personal data described in this policy, except for data that Pro users store about their own clients in the specialist workspace (see section 8).

2. Data we collect

Data you give us

• Account data: name, email address, password (stored in hashed form), language preference.
• Support data: the content of messages you send to support@vitawellness.space.
• Content you create in the Service: custom sets, writing history, notes and settings.
• For Pro users: information you choose to enter about your clients in the specialist workspace.

Data collected automatically

• Technical data: IP address, browser and operating system type, device and software version, time zone, log data and error reports.
• Device connection data: the model, family and firmware version of the wellness device connected to the Service, and records of programs written to it.
• Usage data: pages visited and features used in the Service.
• Cookies and similar technologies, as described in our Cookie Policy.

Data from payment providers
Payments are handled by our third-party payment provider, which may act as the merchant of record. We do not receive or store your full card number. We receive limited information such as your name, email, country, the plan purchased, the transaction status and the last four digits of the card.

We do not ask you to provide medical records, diagnoses or other health information to use the Service. Please do not enter such information unless it is necessary for your own use of the Service.

4. Sharing your data

We do not sell your personal data. We share it only with:

• Service providers who help us run the Service, such as hosting and cloud storage, email delivery, customer support tools and error monitoring. They process data only on our instructions and under data protection agreements.
• Payment providers that process your payments and may act as merchant of record, under their own privacy policies.
• Authorities, where required by law or to protect our rights, users or the public.
• A successor business, if Vita Wellness is involved in a merger, acquisition or sale of assets, subject to this Privacy Policy.

Our service providers may process data outside your country, including outside the European Economic Area. Where this happens, we rely on appropriate safeguards such as adequacy decisions or standard contractual clauses.

6. Data retention

• Account data and content: for as long as your account is active. After you delete your account, we delete or anonymize it within 30 days, except as described below.
• Billing and transaction records: for the period required by tax and accounting law.
• Support correspondence: up to 24 months after the request is closed.
• Server logs: up to 90 days, unless needed longer to investigate a security incident.

7. Security

We use encryption in transit (HTTPS/TLS), access controls, hashed passwords and regular backups to protect your data. No system is completely secure; if we become aware of a data breach that affects you, we will notify you and the relevant authorities as required by law.

8. Client data in the specialist workspace (Pro plan)

If you are a Pro user and store information about your clients, you are the controller of that data and we process it on your behalf, only to provide the Service to you. You are responsible for having a lawful basis and any required consents, and for informing your clients about how their data is handled. We will assist you, where reasonably possible, in responding to your clients’ data requests. Client data is deleted together with your account, unless you export it first.

9. Your rights

Depending on where you live, you may have the right to:

• access the personal data we hold about you;
• correct inaccurate data;
• delete your data;
• restrict or object to certain processing;
• receive your data in a portable format;
• withdraw consent at any time, without affecting earlier processing;
• lodge a complaint with your local data protection authority.

To exercise any of these rights, email support@vitawellness.space from the address linked to your account. We will respond within 30 days.

10. Children

The Service is not intended for anyone under 18. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, contact us and we will delete it.

We use cookies and similar technologies as described in our Cookie Policy.

12. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated version on vitawellness.space and update the date above. For material changes, we will notify you by email or in the Service.
